This project aimed to enhance the new Extreme Photonics Applications (EPAC) building. It involved fitting out several key areas, including:
Staff offices and collaboration spaces<ol><li>External balcony and a presentation space with tiered seating for better engagement</li><li>Flexible workspaces designed for team collaboration</li></ol>
Offices for visiting scientists<ul><li>Variable height seating for comfort and flexibility</li><li>Movable wall systems and writable glass screens to support teamwork</li><li>Acoustic booths and "thinking" pods to enhance focus</li><li>Bespoke design features that cater to scientists' specific needs</li></ul>
Specialised rooms for government use<ul><li>Custom spaces tailored to meet governmental requirements</li></ul>

<h3>Our approach</h3>
This project presented several challenges, especially the need to stay within STFC’s financial year-end budget. To meet these demands, the project team worked quickly and efficiently:
Accelerated timeline<ul><li>Design stages were fast-tracked to meet budget deadlines.</li><li>Client approvals were streamlined to keep things moving.</li><li>Tendering started just two months after signing the Pre-Construction Services Agreement.</li></ul>
On-time completion<ul><li>Despite the tight schedule, the project was completed successfully in June 2023.</li></ul>

Lexica’s Project and Cost Management teams were essential to overcoming project challenges and ensuring success:Balance of cost, time, quality, and risk Lexica advised on the best procurement strategy to stay within budget while maintaining high quality. Seamless integration with existing team Leveraging previous experience with the EPAC base-build, Lexica helped integrate the contractor into the project quickly, fostering a collaborative environment with the STFC team. Enhanced communication with NEC supervisor services By adding NEC supervisor services, Lexica helped ensure clear communication, aligning all teams with project goals. Adaptability to project changes Additional fit-out requirements in April 2023 were accommodated without affecting the project timeline. Clear financial reporting Lexica’s transparent cash-flow reporting was praised by both STFC and the Central Laser Facility (CLF) team, ensuring all financial targets were met. Commitment to high-quality design Following the new PAS 6463 Design for the Mind guidance, Lexica delivered a high-quality finish that sets a benchmark for future projects within the Rutherford Appleton Laboratory. The EPAC Phase II Fit-Out project stands as a model of effective collaboration and high standards, supported by Lexica’s commitment to quality and flexibility in project management.
